How we handle your information

Last updated October 30, 2026 · Terms of service

This page covers teamgreenroom.com and the Greenroom app at app.teamgreenroom.com, both run by Green Room Productions, based in Austin, Texas.

What we collect

Analytics

We use Google Analytics to see how people find and use our site and app: the pages you visit, how you got here, your device and browser, your approximate location (city level), and actions like tapping our email or phone number, opening the app, or sending the project form. Google Analytics uses cookies to do this. We look at these numbers in aggregate to improve the site; we don’t use them to identify you or to show you ads.

When you contact us

The “Start a project” form doesn’t send anything to a server. It opens your own email app with your answers filled in, so we only receive what you choose to send: usually your name, business, email or phone number, and notes. We use that to reply and put together a quote.

The Greenroom app

You sign in to Greenroom with Google. We keep your name, email address and profile photo so we know whose account it is.

When you connect Instagram, TikTok, YouTube or Facebook, you log in on that platform’s own page and approve read-only access. We never see your password. Greenroom then reads, and stores so it can show you trends:

Greenroom refreshes these numbers every few hours. It never posts, comments, messages or changes anything on your accounts. The access each platform gives us is stored encrypted, and is used only to fetch your own numbers for you.

Each Monday morning Greenroom emails you a short summary of your own numbers from the week before, sent only to the email address you sign in with. Every email has an unsubscribe link, and you can turn it off or back on in Greenroom’s Connections page.

If you publish a media kit, anyone with the link can see it, including in link previews: the details you put in it (such as your city, partners and any package prices), the photo you upload for it (or your Google profile photo in link previews if you don’t), your follower counts and how they’ve changed on Instagram, TikTok and Facebook, typical views, engagement rate, and your posts from the last 90 days (titles and numbers, plus images and links for Instagram, TikTok and Facebook posts). The PDF version holds the same. A photo you upload is stored with our hosting provider, encrypted at rest, until you remove it or delete your account. Unpublish the kit or remove the photo at any time.

Google and YouTube data

Greenroom’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Greenroom uses YouTube API Services; see the Google Privacy Policy. By connecting YouTube you also agree to the YouTube Terms of Service. Greenroom uses your YouTube data only to show you your own analytics and, if you publish one, your media kit. It refreshes that data every few hours and deletes it if it can’t refresh it for 30 days. You can remove Greenroom’s access to your Google account at any time from your Google account’s third-party connections or the Google security settings page.

How we protect your data

We treat everything you connect to Greenroom, including the YouTube data you let us read through Google, as sensitive data, and we protect it in these ways.

Encryption in transit. Greenroom is served only over HTTPS. Traffic between your browser and Greenroom, and between Greenroom and Google, Instagram, TikTok and Facebook, is encrypted with TLS. Our sign-in cookie is marked Secure and HttpOnly, so it is sent only over encrypted connections and can’t be read by scripts on the page.

Encryption at rest. Greenroom’s database runs on Cloudflare D1, which encrypts all stored data at rest with AES-256. On top of that, the access and refresh tokens that let Greenroom read your connected accounts are encrypted by Greenroom itself with AES-256-GCM before they are stored. The key for that encryption is kept in our hosting provider’s encrypted secret storage, never in our code or database.

Read-only access, minimum scopes. From Google we ask only for your basic profile (name, email address and photo) to sign you in, and read-only access to YouTube and YouTube Analytics to show you your channel’s numbers. Greenroom can’t upload, post, comment on or change anything on your channel or any other connected account, and we never see your passwords.

Access controls. Greenroom is invite-only: only invited email addresses can sign in, and removing an invite blocks access immediately. Each person can see only their own connected accounts and analytics. Administrative access is limited to Greenroom’s two administrators. App secrets and keys are stored as encrypted secrets with our hosting provider, separate from our code. Sign-in sessions expire after 60 days, and signing out or deleting your account ends them.

Retention and deletion. We keep your data only while your account is active and connected. Disconnecting a platform deletes that platform’s data immediately. Deleting your account deletes your account, connections, synced posts and media kit. If we can no longer refresh a connected account’s data for 30 days (for example, because you revoked access), we delete that data automatically. Deletion requests sent by email are completed within 30 days.

Google user data and Limited Use. Greenroom’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use YouTube data only to show you your own analytics and to build the media kit you choose to publish. We don’t sell it, use it for advertising, or transfer it to others except as needed to run Greenroom (our hosting provider), to comply with the law, or with your consent. People at Greenroom don’t read your data unless you ask us to, it’s needed for security, or the law requires it.

AI and machine learning. We do not run Google user data, including YouTube data, through AI tools, and we do not use it to develop, improve or train generalized artificial intelligence or machine learning models.

Security incidents. If we learn that your data was accessed without authorization, we will notify affected users without undue delay and take steps to contain it.

Who we share it with

We don’t sell your information, and we don’t use your platform data for advertising. It passes only through the services that run our business: Cloudflare (hosting and storage), Google (sign-in and analytics) and our email provider.

Deleting your data

You can delete your Greenroom data at any time, three ways:

  1. In Greenroom: sign in at app.teamgreenroom.com and open Connections. Disconnect removes that platform’s data straight away, and Delete account removes your account, connections, synced posts and media kit.
  2. From the platform: remove Greenroom in Instagram or Facebook settings and Meta tells us automatically; we delete that platform’s data right away. If you remove Greenroom from TikTok or Google, it stops syncing and we delete that platform’s data within 30 days.
  3. By email: write to hello@teamgreenroom.com from the address you sign in with and we’ll delete everything within 30 days.

Deleting in Greenroom doesn’t change anything on your Instagram, TikTok, YouTube or Facebook accounts.
